What Changed From the Old Spreadsheet

LIA staff information was previously tracked in a shared spreadsheet. That data has been migrated into HubSpot as contact records. The shift to HubSpot means the staff list is now a live, connected database that links to training records, event registrations, and reporting data. Updates made to a contact record are reflected everywhere that contact appears in the system.

Benefits of Managing Staff in HubSpot

  • Searchable and filterable -- Find any staff member by name, email, zone, role, or LIA agency in seconds.
  • Connected to training records -- Each contact's training completions and LMS enrollment status are associated with their record.
  • Connected to events -- Event registrations and attendance are logged in each contact's activity timeline.
  • Single source of truth -- One record per person, no more reconciling multiple spreadsheet versions.

Where to Find the Staff Contacts View

  1. Go to Contacts in the top navigation and select Contacts.
  2. To focus on LIA staff, use a saved view or apply filters (see the article on finding contacts and creating personal views).

Key Properties to Review on a Staff Record

When you open a contact record, pay particular attention to LIA Zone, Program Role, Supervisor, Training Status, and Associated Company. These properties drive how the contact is segmented for communications, reporting, and training workflows. Keeping them accurate is essential.
