LMS Workflows

Automation powering LMS enrollment, completion tracking, and certificate delivery.

The Learning Management System (LMS) is connected to HubSpot through a set of automated workflows. These workflows handle course enrollment, progress reminders, and certificate delivery for Family Support Specialists. All LMS workflows are built and managed by Tapp Network.

Course Enrollment Trigger

When an FSS is added to the "Enrolled in FSS Onboarding" contact list in HubSpot, a workflow automatically sends them an email with their course login link and access instructions. DPH staff can also manually add a contact to the list if a re-enrollment is needed.

Completion Tracking

When a contact completes all required lessons in an LMS course:

  • The workflow updates the contact's Training Completion Date property in HubSpot
  • The contact is sent a certificate of completion via email
  • The completion data becomes visible to supervisors in the Supervisor Portal dashboard

Course Completion Reminder

If a contact is enrolled in a course and has not completed it within 14 days, the workflow sends an automated reminder email with a direct link back to the course. Only one reminder is sent per enrollment cycle.

Troubleshooting Enrollment Issues

If an FSS reports they did not receive their course access email, check that the contact has been added to the correct enrollment list, verify the email address for typos, and review the contact's workflow enrollment history in HubSpot.
