Events Quick Reference: Full Post-Event Workflow

One-page checklist for everything to do after an event.

Post-Event Checklist

  1. Collect the sign-in sheet and confirm the attendee list. Verify names and email addresses are complete. Resolve any missing information before proceeding.
  2. Add attendees to a HubSpot contact list. Go to CRM > Lists, create a new static list named for this event, and add all attendees. Import from CSV if needed.
  3. Upload session materials to Google Drive. Save slides, handouts, and recordings to the appropriate program folder. Copy the shareable link for each file.
  4. Add resources to the HubDB Resources table. Go to Content > HubDB > Resources table. Add a row for each material, entering the Event ID from the Events table, resource title, file link, and resource type.
  5. Enable Show Resources on the event. Return to the HubDB Events table. Find the event row and set Show Resources to true.
  6. Publish both HubDB tables. Click Publish in the Events table, then click Publish in the Resources table. Confirm the resources appear on the event detail page.
  7. Create and send the attendee follow-up email. Go to Marketing > Email. Create a new email using the post-event template, set the recipient list to your attendee list, and send within 48 hours of the event.
  8. Log a completion note on the event record. Log a note confirming that follow-up steps were completed. Include the date sent and any notable observations.

Timing Reference

  • Within 24 hours: Collect attendee list, upload materials.
  • Within 48 hours: Add resources to HubDB, send follow-up email.
  • Within 72 hours: Review email delivery stats and log final notes.
