Creating, sending, and tracking emails using templates and list-based sending.

Where to Find Email Tools

All email creation and sending happens in Marketing > Email from the top navigation. This is where you will find all draft, scheduled, and sent emails, as well as the option to create a new email.

Using Existing Email Templates

This portal includes branded email templates built for the Home Visiting program. When creating a new email, select Create email and choose from the available templates rather than starting from scratch. Templates already include the correct branding, header, footer, and formatting.

How to Send to a List

  1. Open or create a draft email.
  2. In the Send or schedule tab, locate the To field.
  3. Select the list you want to send to.
  4. Set the From name and From email address to the appropriate program sender.
  5. Choose to send immediately or schedule for a specific date and time.

What to Check Before Sending

  • Preview the email -- Use the preview function to check how the email looks on desktop and mobile.
  • Confirm the from name -- Make sure the sender name reflects the appropriate program or team.
  • Verify the recipient list -- Double-check that you have selected the correct list.
  • Check the brand -- Confirm the email is using the Home Visiting brand, not Family Health Systems.

Viewing Email Performance After Sending

After an email is sent, click on it in the Email library to view performance data including open rate, click rate, unsubscribes, and delivery rate. This data is available in the email's Performance tab.
