Delaware Family Support Hub Workflows
Overview of automated workflows powering the Delaware Family Support Hub and its communications.
HubSpot workflows are automated processes that run when a specific trigger condition is met. For the Delaware Home Visiting Program, workflows handle enrollment notifications, ongoing communications, and contact management for Family Support Specialists. All workflows are built and managed by Tapp Network.
New FSS Registration Workflow
When a new FSS worker registers on the Family Support Hub app, this workflow runs automatically:
- A new contact record is created in HubSpot (or an existing record is updated)
- The contact is added to the active FSS list
- The FSS is enrolled in the onboarding email series
- The FSS is added to the FSS Onboarding course in the LMS
Monthly Announcement Workflow
On a scheduled basis each month, this workflow sends the program newsletter to all active FSS contacts in HubSpot. Only contacts with an active FSS status receive this communication.
Inactive Contact Workflow
This workflow monitors FSS contact records for login activity data passed from the Family Support Hub app. If a contact has not logged in for 90 days, the workflow flags the contact record in HubSpot with an inactive status and creates a notification for DPH staff to review.
